Twin Cities Blind Audio Dart League Board Meeting August 19th 2018 President Phil called the meeting to order at 11:43AM. Board members present: Phil, Gary, Shawn, Jordan and Annie. Secretary's report was read motion to accept by Gary, seconded by Annie. Treasurers Report Opening Balance: $2517.27 Deposits Omni Cribbage tournament fundraiser $290 (half is for tournament and half for scholarship) Amazon Smile $5 Other deposits $1,852 Total Deposits: $2168 Expenses End of Year Prizes $3,407 Total expenses: $3,407 Ending Balance as of July 31st, 2018: $1,278.27 Reserve accounts: Scholarship fund $661.50 includes deposit above Dart Board Fund $1,848.02 as of last report Tournament Fund $370.90 includes deposit above Opening balance reflects the available cash balance not the bank account balance. I was not able to open the files from Catalina to have the details on the other deposits listed above and to see a bank balance. She will be giving me a thumb drive with the files this coming week and I will update for the next report the break out of the reserved accounts. If there are any adjustments I will include those with the next report as well which will be sent out through August 31st. Our current bank balance as of today is $2,656.06 which is after a few expenses in August for website hosting and dart board maintenance. Motion to accept made by Annie seconded by Shawn Discussion Annie would like email copies of the report sent to the board member email list. Vice Presidents report Hope we have a good year, and everyone has an enjoyable time. Captains Rep Report We have 6 teams with 3 venues VFW, Eagles Club, and Merlins Rest. We will have a 6 round schedule starting September 11th, with Christmas break December 25th and January 2nd, and will be ending April 23rd. The end of year banquet will be around May 16th. The schedule will be out by August 31st. Folders will be handed out the first week of darts; Annie will drop them off at venues. Committee reports Fundraising We did not have a report, last fundraiser we think we had was the cribbage tournament at Omni in January. Phil looked into a fundraiser at US Bank Stadium working events. Send an email and is waiting to hear back. Want to do puffins Talked about not doing daily 3 this year. Want to look back into the Potbelly fundraiser. Tournament Committee Probably will not be having a tournament this year due to lack of fundraising opportunities. Shawn mentioned if we get good donations from Lions Clubs again last year we only fundraised around $1200, which he felt wouldn't be that hard. Outreach committee Looked at 2 new venues, one wanted to charge us to play there every week, and the other venue did not have elevator access to the basement so we could not use it. Committee volunteers Gary outreach Annie Chair fundraising Shawn Fundraising Kellie fundraising Jordan outreach Phil fundraising and tournament Old business Forgot to look at locks they use at VLR, so will make time very soon to check those out. New business Jordan would like to try and do more outreach demonstrations. Ian brought up doing the University of Minnesota Sports Expo, also the disability student cultural center are looking to demo adaptive sports. Ian will give Phil dates and times when they may want us to demonstrate. Open Discussion Peter does social media and promotion and would like to do it for the dart league. Would help with demonstration and have more web presence. He would also give us 4 times a day commercial on his web radio station, and the cost for all this would be $10 a month. Shawn made a motion to pay Peter $10 a month from September to April to do our social media outreach, and to give a report to the board every 2 months. Motion seconded by Gary. Discussion Will have a consent form to allow pictures and videos of members will be in each of the captains folders. Talked about when we wanted reports from Peter and would format we would want them emailed in. Peter asked to email him pictures and video of us playing darts to put on YouTube. Also discussed doing interviews with people to put on YouTube.
